Quickly and Efficiently Processed Invoices for Vihamij

Jeffrey Janssen, Financial Director Vihamij Handel says: "We already had experience with a solution for digital invoice processing. However, our digital solution was old-fashioned and we wanted a different digital solution for processing the incoming invoice flow that meets today's requirements. This has been completed in a number of phases for Vihamij. First we approached the previous supplier and then we ended up with ISPnext through our ERP partner. We were excited after watching a demo of ISPnext. We also felt the partner and ISPnext had a smooth collaboration. This proved true during the project. The project went fine. Some changes were made in the interim.

ISPnext handled this very flexibly, so the lead time was only slightly longer than anticipated. Furthermore, it is very nice to have a single point of contact throughout the project. This simplifies communication. "Significantly better invoice processing is the biggest benefit for Vihamij Handel. Both the speed of invoice processing and our control have improved tremendously. Previously, it took us quite a long time to sort out an incorrect invoice. If the suppliers are now sending an incorrect invoice, it will quickly become apparent. We can directly see the potential cause and respond immediately. With search and mail capabilities, employees can now do this quickly and efficiently in Invoice Automation.  If we receive an invoice with a total that does not match our system, this is immediately flagged. The employee can easily send a message to have the price adjusted internally. If the supplier made a mistake, we send them a message from this system to process the correction. It’s fast, simple and clear in one system," Janssen continued.

Further Optimising Invoice Processing

"We went live some time ago and are now fine-tuning Invoice Automation and optimising internal processes. For example, we are adjusting our internal claim form routes. After starting up ISPnext's solution, we have now saved an additional 10% of time. We are happy with the efficiency. After further optimisation of the internal processes and fine-tuning of Invoice Automation, we expect further improvement," Janssen concludes.
