Creamy creation in control with AP Automation

Creamy Creation has been working with AP Automation integrated with ERP Infor M3 CloudSuite since 2022. We speak to Barney de Rooij, Finance Manager and Paul de Kleijne, Senior Finance Specialist at Creamy Creation. Barney says: ''We started with AP Automation at Creamy Creation because we wanted to automate the Accounts Payable process.''

''Previously, when Creamy Creation was still part of FrieslandCampina, we worked with a Shared Service Centre that processed all procurement invoices for us. When Creamy Creation was acquired by Wagram Equity Partners, we started doing this ourselves. We were using Infor's standard functionality, but soon realized that this did not help us achieve our goals in terms of invoice processing speed. We started looking for a different invoice processing solution with the objective of gaining efficiency and full control. After a selection process, we chose AP Automation from ISPnext.''

Clear, user-friendly and flexible

Creamy Creation works satisfactorily with ISPnext's solution. Paul explains: ''The software is very clear. You can find all invoice information easily and quickly within one package. In addition, the invoices are booked and processed as we expect. We sparred with ISPnext for this and then set up the software to our organisational requirements. Purchase invoices are approved or parked and we have clear insight into this. In summary, the software delivers on its promise, we are 'in control' and it works in a very user-friendly manner.

Barney adds: ''What we really like is the flexibility in the approval flow. We can separate, which is not possible in many packages, who should approve the invoice when there is a discrepancy in the goods invoice. We can immediately put this to the right person. That's very nice!''

''The software does what it is supposed to do, we are 'in control' and it works very user-friendly.''

Efficiency Report

Creamy Creation has made a nice efficiency gain by working with AP Automation and the underlying SmartScan functionality. ''We save time because we go from manually booking purchase invoices to automatically booking and processing purchase invoices with just a few clicks. This is largely made possible by the scanning and recognition software and the link to our ERP Infor M3 CloudSuite. In addition, we also experience a financial benefit. The quick approval of invoices allows us to book them earlier, allowing us to reclaim VAT immediately.''

Collaboration

The collaboration is going well. Paul explains: ''I experienced the implementation phase as a project partnership, together with our partner Apex Systems. We sparred about the functionalities of ISPnext in combination with M3. This cooperation came about quite naturally because for us the cloud link had yet to be fully built. More than six months after going live, the cooperation switched to a support cooperation. This is experienced well because of the fast service, the possibility to request new functionalities and the constant renewal and improvement from ISPnext (and the partners).''

Future Prospects

Creamy Creation looks positively to the future with ISPnext. ''For now, our future perspective together with ISPnext lies in being able to respond together to (un)foreseen interface updates from Infor with as little impact on our accounts payable department as possible. In addition, we will continue to look at new functionalities that are possible within ISPnext to optimise the financial processing of invoices.''
